Envent Australia Pty Ltd ("Envent," "we," "us," "our") respects your privacy. This policy explains what personal information we collect, why we collect it, how we use it, and the choices you have. It applies to our website (envent.com.au), our digital wayfinding kiosks and mobile wayfinding products, Envent Cloud, and any other service that links to this policy.

We handle personal information in line with the Australian Privacy Principles (APPs) under the Privacy Act 1988 (Cth).If you don't agree with this policy, please don't use our website or services. If you have questions, contact us using the details at the bottom of this page.

1. Who this policy covers

This policy applies to:

  • Visitors to envent.com.au
  • People who submit a form on our site (Contact, Request a Demo, or a resource download)
  • Subscribers to our email updates
  • People who interact with an Envent-built kiosk, mobile wayfinding app, or Envent Cloud interface at a client site (hospital, retail centre, or council facility)
  • Job applicants and business contacts

Where Envent builds and operates wayfinding systems for a client (for example, a hospital or council), that client is usually the entity responsible for the venue and its visitors. We act as their service provider for the technology. Section 8 below explains this relationship in more detail.

2. What personal information we collect

We only collect what we need to run our business and deliver our services. We don't collect information "just in case."

2.1 Information you give us directly
  • Contact and enquiry forms: name, email address, phone number, organisation name, job title, and any details you include in your message.
  • Demo requests: the above, plus information about your project — sector, site, timeline, and what you're trying to solve.
  • Resource downloads (e.g. our Capability Statement): name, work email, and organisation.
  • Email subscriptions: email address and any preferences you set (via systeme.io).
  • Job applications: resume, cover letter, and any information you choose to include.

2.2 Information corrected automatically
  • Website usage data: pages visited, time on page, referring site, device type, browser type, and approximate location (derived from IP address, not precise GPS). Collected through standard analytics tools.
  • Cookies: see Section 6.
2.3 Information corrected automatically

Our digital wayfinding kiosks and mobile wayfinding tools are built to help people find their way around a venue, not to identify who they are. As a general rule:

  • Kiosks display maps, directions, and directory information. They do not require a login or personal details to give directions.
  • Where a kiosk or mobile app logs usage (for example, which directions were searched, or which floor was viewed), that data is anonymised or aggregated for reporting to the venue operator. It is used to improve wayfinding accuracy and layout, not to identify individual visitors.
  • If a kiosk offers an optional feature that does collect personal information (for example, a feedback survey, appointment check-in, or accessibility request), that collection is clearly flagged at the point of entry, and the client venue's own privacy notice will usually apply alongside this one.
  • We do not use facial recognition, and we do not track individuals across kiosk sessions.
2.4 What we don't collect

We don't collect sensitive information (health information, biometric data, etc.) through our website or standard kiosk deployments. If a specific client project involves sensitive information, that is governed by a separate agreement with that client, and their privacy policy takes precedence for that data.

3. Why we collect and how we use your information

We use personal information to:

  • Respond to enquiries and demo requests
  • Send the resource you requested (e.g. a Capability Statement PDF)
  • Send email updates, if you've subscribed, and only about things relevant to what you signed up for
  • Understand how people use our website, so we can improve it
  • Maintain and improve our wayfinding products for client venues
  • Meet legal and accounting obligations
  • Assess job applications

We do not sell personal information. We do not use your information for automated decision-making that produces legal or similarly significant effects on you.

4. Who we share information with

We share personal information only where necessary, and only with:

  • Service providers who help us run our business, under contract, including:
    • Systeme.io0 (email delivery and marketing automation)
    • Webflow (website hosting and form handling)
    • Cloud hosting providers for Envent Cloud
  • Professional advisers (accountants, lawyers) where needed
  • Government or regulatory bodies, if required by law
  • A buyer or successor, if Envent is ever involved in a business sale, merger, or restructure — your information would be handled under an equivalent privacy standard

5. Where your information is stored

Our website and email tools are operated by international providers (including Webflow and Mailchimp, both US-based), which means personal information may be stored or processed outside Australia. These providers maintain their own security and privacy standards, and we choose providers who meet recognised industry security practices.

Envent Cloud, where deployed for Australian government or healthcare clients, is hosted in accordance with the data residency requirements agreed with that specific client. If your organisation has a data residency requirement, raise it with us directly — this is handled per contract, not by this general policy.

6. Cookies

Our website uses cookies and similar technologies to:

  • Remember your preferences
  • Understand how visitors use the site (analytics)
  • Support form functionality

You can control or disable cookies through your browser settings. Turning off cookies may affect how parts of the site function, for example form auto-fill or session memory. We do not use cookies to build advertising profiles of visitors, and we do not sell cookie data to third parties.

7. Data Security

We take reasonable technical and organisational steps to protect personal information from misuse, interference, loss, and unauthorised access, including:

  • Access controls limiting who at Envent can view submitted data
  • Secure, reputable third-party platforms for hosting, forms, and email (see Section 4)
  • Regular review of who has access to client and website data

No system is 100% secure, and we can't guarantee absolute security of data transmitted over the internet. If we become aware of a data breach that's likely to result in serious harm, we'll notify affected individuals and the Office of the Australian Information Commissioner (OAIC), in line with the Notifiable Data Breaches scheme.

8. If we're building a system for a venue you're visiting

If you're a patient, visitor, shopper, or member of the public interacting with an Envent-built kiosk or wayfinding system at a hospital, shopping centre, or council facility, the venue operator (e.g. the hospital or council) is typically the one responsible for that location's privacy obligations to you. We build and maintain the technology under contract to them.

If you have a privacy concern about a specific kiosk or system you used at a venue, we recommend contacting that venue directly in the first instance, as they will hold the relevant records. You're welcome to contact us too, and we'll help direct your enquiry.

9. Your rights

Under the Privacy Act, you can:

  • Ask what personal information we hold about you
  • Ask us to correct inaccurate information
  • Ask us to stop using your information for direct marketing (you can also unsubscribe from any email using the link in that email)
  • Make a complaint if you think we've mishandled your information

To exercise any of these rights, contact us using the details in Section 11. We'll respond within a reasonable time, generally within 30 days.

10. Children's privacy

Our website and services are directed at businesses and adults. We don't knowingly collect personal information from children. If you believe a child has provided us with personal information, contact us and we'll delete it.

Material changes will be reflected on this page; continued use of our website after changes are posted means you accept the updated policy.
