The brief came from Downer Defence. They needed a 24-hour self-service check-in system for Gallipoli Barracks in Brisbane.
No front desk. No staff on call. A kiosk that could handle LIA check-in, issue RFIDs, provide digital maps to 1,300 rooms, and connect live to their RMS room reservation system. All of it had to meet Australia's security requirements, while feeling as simple as a hotel check-in.
That is harder than it sounds. It is also the kind of design problem that reveals where self-service wayfinding kiosks hit their limits.
Envent designed and developed the full solution. The physical kiosk handled check-in, RFID issuance, and on-site wayfinding. The Envent.Cloud platform was integrated directly with the Downer RMS system, keeping room assignments, access credentials, and site data in real time.
A mobile wayfinding application gave residents facility maps, amenities information, and navigation on their phones. At national scale, Envent also built and deployed an online survey platform now running across all 18 barracks locations in Australia.
Civilian and defence environments have different rules. The experience had to feel frictionless, but operate securely. RFIDs tied to live reservations. Identity verification built in. Unattended 24-hour operation as a given.
The solution is now integrated into Gallipoli Barracks operations.
This project was the starting point for something Envent is still building.
When you design a 24-hour kiosk that must guide people through a process with no staff present, you discover the gap. A kiosk can display information. It can accept input. But it cannot have a conversation. It cannot read uncertainty on a person's face and offer a clearer explanation. It cannot reassure someone who is confused at 2am in an unfamiliar barracks.
That gap is what pointed Envent toward AI avatars.
An avatar on a kiosk screen does what a map cannot. It speaks. It listens. It responds to the person in front of it, not just to a menu selection. The Downer Defence project made it clear that the future of self-service wayfinding is not a better touchscreen. It is a more human interface.
